Quick answer: Start from the 500 minimum and order enough to last until you’d want to change the design. A café or small restaurant usually suits 500 or 1,000, and 1,000 square coasters cost the same $150 + GST as 500, single sided. Busy pubs, clubs and breweries get better value from a larger offset run of 5,000 or 10,000.
How many coasters should I order?
One of the most common questions we receive is, “How many beer coasters do I need?”
The answer depends on several factors, including the size of your venue, how busy you are, how often you replace your coasters, and whether they’re being used for everyday service or a special promotion.
As a general guide, here’s a good starting point for most Australian businesses.
| Business or Promotion Type | Suggested Quantity |
|---|---|
| Small café or restaurant | 500–1,000 coasters |
| Local bar or small venue | 1,000–2,500 coasters |
| Pub, hotel or club | 2,500–5,000 coasters |
| Brewery, distillery or product launch | 5,000–10,000 coasters |
| Large event or promotional campaign | 10,000–25,000 coasters |
| National or multi-venue promotion | 25,000+ coasters |
What coaster quantity suits each type of venue?
500–1,000 Coasters
Ideal for smaller cafés, restaurants and boutique venues wanting to add a professional touch to their tables. This quantity is also perfect for testing a new design or seasonal promotion without ordering large volumes.
1,000–2,500 Coasters
A popular choice for busy bars and licensed venues. This quantity provides enough stock for regular use while keeping your branding fresh and allowing for design updates throughout the year.
2,500–5,000 Coasters
Perfect for pubs, clubs and hotels with steady customer traffic. Ordering at this level generally provides better value per coaster and reduces the need for frequent reordering.
5,000–10,000 Coasters
Recommended for breweries, distilleries, beverage launches and businesses running larger marketing campaigns. These quantities are ideal when supplying multiple venues or distributors.
10,000–25,000 Coasters
Designed for festivals, sporting events, major hospitality groups and large promotional campaigns where thousands of customers will see your branding over a short period.
25,000+ Coasters
Best suited to national beverage brands, franchise groups and multi-location businesses. Large production runs offer the most economical unit price and ensure consistent branding across every venue.
What should I think about before ordering beer coasters?
Before deciding on your quantity, ask yourself:
- How many drinks do you serve each week?
- Will the coasters be used every day or only for a promotion?
- Are you supplying one venue or multiple locations?
- Do you plan to update your artwork regularly?
- Are you ordering for a special event with a fixed attendance?
Answering these questions will help determine the most cost-effective order size for your business.
Should You Order More?
For many businesses, ordering a larger quantity often provides better overall value. Larger print runs generally reduce the cost per coaster and minimise the time spent reordering throughout the year.
If your artwork isn’t likely to change and you have adequate storage, purchasing a larger quantity can be a smart long-term investment.
Frequently Asked Questions
Small venues can start with 500 or 1,000 coasters, which suits cafés, restaurants and one-off events. Busier pubs, clubs and breweries usually get better value from a larger offset run of 5,000 or 10,000. If you are unsure, start with a short run, see how fast it goes and size the next order from there.
Our minimum order quantity is 500 custom printed beer coasters, making them an affordable promotional product for businesses of all sizes.
Our beer coasters are 95 x 95mm, either round or square with rounded corners. They are printed on 365gsm or 390gsm beer mat board, on one side or both. Round and square cost the same at 500 coasters, and from 1,000 up the square shape is the cheaper of the two.
Runs of up to 2,000 coasters are dispatched within 48 hours of proof approval, and larger runs within 5 to 7 working days. Delivery then takes 1 to 2 days to most major cities. Proofs usually come back within 1 to 2 hours of us receiving your artwork, so a short run can be with you within days.
Less than you think. One clear message, your logo and text big enough to read at arm’s length in a dim bar will do more than a coaster crammed with details. Too much information in text that is too small is the most common mistake we see. Put a QR code or offer on the back.
